Overview

This article offers an overview of managing projects within the system, covering viewing, creating, editing, archiving, and restoring projects, as well as managing document templates associated with projects.

Viewing a Project

To view a project:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to view, go to the context menu, and click View.

Creating a New Project

To create a project:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. From the table context menu, click Create.
  3. Complete the required fields marked with * (see the table below for further information).

Enforce workflow time tracking Dropdown - Yes When enabled, users will be required to enter total hours when completing a workflow form. This only effects pack tags and does not effect phases

 

Pack Name Mask

The mask must contain 1 or more hash symbols. The symbols can appear anywhere within the string If there are 1 or more groupings of hashes, the first occurrence found within the string will be used as the mask

Pack Name Seed

PackNameSeed is a column on the Project table but is not shown in the UI. It defaults to 0 to enable pack sequences numbering to being at 1. We can change the initial seed value on user request. The seed can inly be incremented (and decremented) by 1. The system does not currently support higher step numbers.

Editing a Project

To edit a project:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to edit, go to the context menu, and click Edit.

Export Projects

To export all the projects into a csv file:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. From the table context menu, click Export.
  3. Select a filename and location.
  4. You will now have a csv file with all the projects output to the location you selected.

Managing Document Templates

You can manage document templates for a project, you will be able to view, edit and update new revisions.

View Document Template Details

To view a document template:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to view document templates, go to the context menu, and click Manager document templates.
  3. Find the document template you want to view, go to the context menu, and click View.

Create a Document Template

To create a document template:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to create a document template, go to the context menu, and click Manager document templates.
  3. From the table context menu, click Create.
  4. Complete the required fields marked with *, this may change depending on the template type.
  5. Upload file (use this option to upload the file from your pc)

Edit a Document Template

To edit a document template:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to edit a document template, go to the context menu, and click Manage document templates.
  3. Find the document template you want to edit, go to the context menu, and click Edit.

Upload a New Document Template Revision

To upload a new document template revision:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to upload a new document template revision, go to the context menu, and click Manage document templates.
  3. Find the document template you want to upload a new document template revision, go to the context menu, and click Upload new revision.
  4. Upload the file from your pc.

Archiving a Document Template

To archive a document template:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to archive a document template, go to the context menu, and click Manage document templates.
  3. Find the document template you want to archive, go to the context menu, and click Archive.

View Archived Document Templates

To view archived document templates:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to view archived document templates, go to the context menu, and click Manage document templates.
  3. From the table context menu, click View Archived.

Restore an Archived Document Template

To restore a previously archived document template:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Find the project you want to archive a document template, go to the context menu, and click Manage document templates.
  3. From the table context menu, click View archived.
  4. Find the document template you want to restore, go to the context menu, and click Unarchive.

Hide Archived Document Templates

To hide archived document templates:

  1. When viewing archived document templates.
  2. From the table context menu, click Hide archived.

Archiving a Project

To archive a project:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. Select the project you want to archive, go to the context menu, and click Archive.

View Archived Projects

To view archived projects:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. From the table context menu, click View archived.

Restore an Archived Project

To restore a previously archived project:

  1. From the Home Screen, go to the cog icon and click Manage projects.
  2. From the table context menu, click View archived.
  3. Find the project you want to restore, go to the context menu, and click Unarchive.

Hide Archived Projects

To hide archived projects:

  1. When viewing archived Projects.
  2. From the table context menu, click Hide archived.
