Overview
Personnel management is crucial to planning and executing projects. Operate is designed to help manage resources by tracking resource allocation to projects, linking competency to work execution.
Manage Personnel Views
You can create different views within personnel to display different information in the table.
View Personnel Views
To View personnel views:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel views.
Create a Personnel View
To create a personnel view:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel views.
- From the table context menu, click Create.
- Enter a name for the view.
- Update any columns into the column section that you want to see in the view.
- Enter any Facetable columns that you may want to filter the table.
Edit Personnel Views
To edit personnel views:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel views.
- Find the personnel view you want to edit, go to the context menu, and click Edit.
Export Personnel Views
To export all the personnel views into a csv file:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel views.
- From the table context menu, click Export.
- Select a filename and location.
- You will now have a csv file with all the personnel output to the location you selected.
Archiving a Personnel View
To archive a personnel view:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel views.
- Find the personnel view you want to archive, go to the context menu, and click Archive.
View Archived Personnel Views
To view archived personnel views:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel views.
- From the table context menu, click View archived.
Restore an Archived Personnel View
To restore an archived personnel view:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click View archived.
- From the table context menu, click Manage personnel views.
- Find the personnel view you want to unarchive, go to the context menu, and click Unarchive.
Hide Archived Personnel Views
To hide archived personnel views:
- When viewing archived personnel views.
- From the table context menu, click Hide archived.
Competency
Competency management allows the user to track personnel specific competency and when that competency expires within Operate. Competencies can be linked to Tools within Operate and are used in certain workflows to raise Non-conformances if work is performed outside of the required competency.
View Competencies for Personnel
To view competencies for personnel records:
- From the Home Screen, go to the cog icon and click Manage personnel.
- Find a personnel record to view competencies, from the row context menu, click Manage competencies for personnel.
Create a New Competency
To create a new competency record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- Find a personnel record to add a competency, from the row context menu, click Manage competencies for personnel.
- From the table context menu, click Create.
- Choose a Competency type from the list. A description of the selected competency is shown.
- Enter the Certificate number and Expiry date.
- Click Save.

Upload a Competency Certificate
To upload a competency certificate:
- From the Home Screen, go to the cog icon and click Manage personnel.
- Find a personnel record to add a competency certificate, from the row context menu, click Manage competencies for personnel.
- Find a competency record, click Upload certificate from the row context menu.
- Click Upload a file, find the file on your computer to upload.
- Click Save.
Replace Competency Certificate
To replace a competency certificate for a personnel record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- Find a personnel record to replace a competency certificate, from the row context menu, click Manage competencies for personnel.
- Find a competency record, click Replace certificate from the row context menu.
- Click Upload a file, find the file on your computer to upload.
- Click Save.
Edit a Competency
To edit an existing competency record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- Find a personnel record to edit competency, from the row context menu, click Manage competencies for personnel.
- Find a competency record, click Edit from the row context menu.
- Update the competency type, certificate number or expiry date.
- Click Save.
Competency Expirations
When competency is about to expire, email notifications are sent to alert administrators, however, it is possible to view a list of competency expirations in the system.
To view competency expirations:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Competency expirations.
Archiving a Competency
To archive a personnel competency record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Competency expirations.
- Find a competency record, click Archive from the row context menu.
View Archived Competency records
To view a personnel's archived competency records:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Competency expirations.
- From the table context menu, click View archived.
Restore a Competency record
To restore a personnel's previously archived competency record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Competency expirations.
- From the table context menu, click View archived.
- Find the competency you want to restore, go to the context menu, and click Unarchive.
Hide Archived Competency records
To hide a personnel's archived competency records:
- When viewing competency records.
- From the table context menu, click Hide archived.
Manage Resource Types
You can create different resource types within personnel.
View Resource Types
To View resource types:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage resource types.
Create Resource Type
To create a resource type:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage resource types.
- From the table context menu, click Create.
- Enter a name for the resource type and save.
Edit a Resource Type
To edit a resource type:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage resource types.
- Find the resource type you want to edit, go to the context menu, and click Edit.
Archiving a Resource Type
To archive a resource type:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage resource types.
- Find the resource type you want to archive, go to the context menu, and click Archive.
View Archived Resource Types
To view archived resource types:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage resource types.
- From the table context menu, click View archived.
Restore an Archived Resource Type
To restore an archived resource type:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage resource types.
- From the table context menu, click View archived.
- Find the resource types you want to unarchive, go to the context menu, and click Unarchive.
Hide Archived Resource Types
To hide archived resource types:
- When viewing archived resource types.
- From the table context menu, click Hide archived.
Manage Personnel Types
You can create different personnel types within personnel where you can then create groups and assign attributes to the group.
View Personnel Types
To view personnel types:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to view, go to the context menu, and click View.
Create Personnel Type
To create a personnel type:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- From the table context menu, click Create.
- Enter a name for the personnel type and save.
Edit a Personnel Type
To edit personnel type:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to edit, go to the context menu, and click Edit.

- Find the personnel type you want to unarchive, go to the context menu, and click Unarchive.

- When viewing archived personnel types.
- From the table context menu, click Hide archived.
Manage Personnel Type Groups
You can create groups within personnel types and assign attributes to the groups.
View Personnel Type Groups
To view personnel type groups:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to view groups, go to the context menu, and click Manage personnel type groups.
- Find the personnel type group you want to view, go to the context menu, and click View.
Create Personnel Type Groups
To create a personnel type group:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to view groups, go to the context menu, and click Manage personnel type groups.
- From the table context menu, click Create.
- Enter a name for the group and save.

- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to edit groups, go to the context menu, and click Manage personnel type groups.
- Find the personnel type group you want to edit, go to the context menu, and click Edit.
Export Personnel Type Groups
To export all the personnel type group attributes into a csv file:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to export groups, go to the context menu, and click Manage personnel type groups.
- From the table context menu, click Export.
- Select a filename and location.
- You will now have a csv file with all the personnel type groups output to the location you selected.
Archiving a Personnel Type Group
To archive a personnel type group:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to archive a group, go to the context menu, and click Manage personnel type groups.
- Find the group you want to archive, go to the context menu, and click Archive.
View Archived Personnel Type Groups
To view archived personnel type Groups:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to view archived groups, go to the context menu, and click Manage personnel type groups.
- From the table context menu, click View archived.
Restore a Personnel Type Group
To restore a personnel type group:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to view archived groups, go to the context menu, and click Manage personnel type groups.
- From the table context menu, click View archived.
- Find the group you want to unarchive, go to the context menu, and click Unarchive.
Hide Archived Personnel Type Groups
To hide archived personnel types:
- When viewing archived personnel type groups.
- From the table context menu, click Hide archived.
Manage Personnel Type Group Attributes
You can assign different attributes against separate groups; this will be the attributes that will be displayed in the Personnel form.
View Personnel Type Group Attributes
To view the personnel type group attributes:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to view group attributes, go to the context menu, and click Manage personnel type groups.
- Find the group you want to view personnel type group attributes, go to the context menu, and click Manage personnel type group attributes.
- Find the attribute you want to view ,go to the context menu, and click View.
Create a Personnel Type Group Attribute
To create a new personnel type group attribute:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to create a new attribute, go to the context menu, and click Manage personnel type groups.
- Find the group you want to create a new attribute, go to the context menu, and click Manage personnel type group attributes.
- From the table context menu, click Create.
- You can select from a list of already setup attributes and click save.
- To create a new attribute that is not in the list click the New attribute button.
- Give the attribute a name and select a data type from the dropdown list.
- You can add the new field to any of the personnel view’s setup, then click Save, then click save again to add the attribute to the group.
Edit Personnel Type Group Attributes
To edit the personnel type group attributes:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to edit personnel type group attributes, go to the context menu, and click Manage personnel type groups.
- Find the group you want to edit personnel type group attributes, go to the context menu, and click Manage personnel type group attributes.
- Find the attribute you want to view ,go to the context menu, and click Edit.
Export Personnel Type Group Attributes
To export all the personnel type group attributes into a csv file:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to export personnel type group attributes, go to the context menu, and click Manage personnel type groups.
- Find the group you want to export personnel type group attributes, go to the context menu, and click Manage personnel type group attributes.
- From the table context menu, click Export.
- Select a filename and location.
- You will now have a csv file with all the personnel type group attributes output to the location you selected.

- Find the attribute you want to archive ,go to the context menu, and click Archive.

- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to view archived personnel type group attributes, go to the context menu, and click Manage personnel type groups.
- Find the group you want to view archived personnel type group attributes, go to the context menu, and click Manage personnel type group attributes.
- From the table context menu, click View archived.

To restore a personnel type group attribute:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Manage personnel types.
- Find the personnel type you want to unarchive a personnel type group attribute, go to the context menu, and click Manage personnel type groups.
- Find the group you want to unarchive a personnel type group attribute, go to the context menu, and click Manage personnel type group attributes.
- From the table context menu, click View archived.
- Find the attribute you want to unarchive, go to the context menu, and click Unarchive.
Hide Archived Personnel Type Group Attributes
To hide archived personnel type group attributes:
- When viewing archived personnel type group attribute.
- From the table context menu, click Hide archived.
View a Personnel Record
To view a personnel record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- Find the personnel record you want to view, go to the context menu, and click View.
Create a Personnel Record
To create new personnel record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Create.
- Select a Personnel type.
- Complete the required fields marked with * (see the table below for further information).

Edit a Personnel Record
To edit a personnel record:
- From the Home Screen, go to the cog icon and click Manage personnel.
- Find the personnel record you want to edit, go to the context menu, and click Edit.
Upload Personnel Records
To upload personnel records:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Get personnel upload template.
- Select the personnel type you want to upload from the dropdown list.
- You can download a template using the link.
- Populate the required fields
- From the table context menu, click Upload.
- Use the upload a file to navigate to your csv file and upload.
Export Personnel Records
To export personnel records to a csv file:
- From the Home Screen, go to the cog icon and click Manage personnel.
- From the table context menu, click Export.
- Select a filename and location.
- You will now have a csv file with all the personnel output to the location you selected.
Archive Personnel
To archive a personnel record:
- Find a personnel record, click Archive from the row context menu.
View Archived Personnel records
To view personnel archived records:
- While viewing personnel.
- From the table context menu, click View archived.
Restore a Personnel record
To restore a personnel's previously archived record:
- While viewing personnel.
- From the table context menu, click View archived.
- Find the personnel you want to restore, go to the context menu, and click Unarchive.
Hide Archived Personnel records
To hide personnel archived records:
- From the table context menu, click Hide archived.
Project Personnel
You can add or remove personnel that have been created from the project personnel module. You can also manage competencies for personnel and view and edit personnel.
View Project Personnel
To view the current personnel on the project.
- From the Home Screen, go to Personnel.
- Find the personnel you want to view, go to the context menu, and click View.
Edit Project Personnel
To edit personnel on the project.
- From the Home Screen, go to Personnel.
- Find the personnel you want to edit, go to the context menu, and click Edit.
Export Project Personnel
To export project personnel to a csv file:
- From the Home Screen, go to Personnel.
- From the table context menu, click Export.
- Select a filename and location.
- You will now have a csv file with all the project personnel output to the location you selected.
Add Personnel to a Project
To add personnel to a project.
- From the Home Screen, go to Personnel.
- From the table context menu, click Add to project.
- Start typing a name or employee number and click on the personnel you want to add to the project and click save.
- Or you can create new personnel by clicking the new personnel option and then populate the required fields for the personnel type and save.
Remove Personnel From a Project
To remove personnel from a project.
- From the Home Screen, go to Personnel.
- From the table view select the personnel you want to remove by selecting the tick option.
- From the table context menu, click Remove From project.
Manage Competencies For Personnel
You can mange the competencies for personnel using project personnel. The process is the same as the Competency section, just changing the two steps below:
- From the Home Screen, go to Personnel.
- From the table view select the personnel you want to manage competencies for,go to the context menu, and click Manage competencies for personnel.
