Introduction to Document Manager

What is Document Manager?

Document Manager is a secure online repository for all flange management related documentation, including joint reports, drawings, photo capture, certificates, etc.

All documents can be linked directly to a specific joint, providing immediate access to each individual connection’s history, aiding project collaboration and proactive planning.

How do I Access Document Manager?

You can access document manager from the landing page or the navigation window:

From the landing page

To open document manager from the landing page:

  1. From the Calculate landing page, click the document manager icon.

From the navigation ribbon

To open document manager from the navigation ribbon:

  1. When you are already in any feature, click the document manager icon in the navigation ribbon to the left.

Creating a Folder in Document Manager

To create a new folder in document manager:

  1. Open document manager.
  2. Locate the access level you wish to create the folder in by collapsing and expanding the folders in the left panel.
  3. Right click on the access level you want to create the folder in and click + New Folder.
  4. In the Folder Name field, enter the name you want the folder to have, and then click Add Folder.

Uploading Files in Document Manager

You can upload a file in two ways:

Upload - Method One

  1. Open document manager.
  2. Locate the access level or folder that you wish to upload files to by collapsing and expanding the folders in the left panel.
  3. Right click on the access level or folder you wish to upload to and click Add Files.
  4. This will open a window that allows you to choose the files you wish to upload from your Mac or PC.

Upload - Method Two

  1. Open document manager.
  2. Locate the access level or folder that you wish to upload files to by collapsing and expanding the folders in the left panel.
  3. Drag documents from your Mac or PC into the blue dotted area.

Link a Document to a Joint in Document Manager

To link a document to a joint:

  1. Open document manager.
  2. Locate the access level or folder containing the document you want to link to a joint.
  3. Right click on the file that you want to link to a joint and click Link to joint.
  4. Select the joint(s) you want to link to the document, then click the save button.
  5. You will see a notification regarding hierarchies press the Ok button to continue or press the Cancel button to cancel the request.

Link a Document to a Pack

To link a document to a pack:

  1. Open document manager.
  2. Locate the access level or folder containing the document you want to link to a pack.
  3. Right click on the file that you want to link to a joint and click Link to Pack.
  4. Select the pack(s) you want to link to the document, then click the save button.
  5. 5. You will see a notification regarding hierarchies press the Ok button to continue or press the Cancel button to cancel the request.

Summary

Within document manager there is a tool that can be used to markup PDF files.

Access Document Markup

You can access the markup tool using the steps below:

  • Log into Calculate
  • Select the Hierarchy in which you want to work
  • Open the Documents feature.
  • Select the main folder then any sub-folder that contains your PDF document.
  • In the files section, right click a PDF document and select the Document Markup option from the dropdown list.
  • The document markup feature will now open and you will see the document you selected.

Markup Features

There are several features in the markup tool, these can be accessed using the left hand-side menu.

  • Markup tool
  • Link tag
  • Add URL · Layers
  • Export
  • Zoom in
  • Zoom out
  • Full screen

Markup Tool

You can access the markup tool by clicking the above icon in the left hand-side menu.

Arrow Tool

Use Case:

  • Pointing to specific content
  • Highlighting locations in diagrams

Customisable: colour, thickness, and opacity.

Circle Tool

Creates circular shapes around areas you want to highlight.

Use case:

  • Encircling important text/applications
  • Marking areas on plans or drawings

Customisable:

  • Line - colour, thickness, and opacity.
  • Fill - colour, thickness, and opacity.

Rectangle Tool

Draws square or rectangular boxes.

Use case:

  • Highlighting text/applications
  • Boxing in errors
  • Creating callout frames

Customisable:

  • Line - colour, thickness, and opacity.
  • Fill - colour, thickness, and opacity.

Polygon Tool

Allows drawing multi point shapes.

Use case:

  • Outlining irregular shapes
  • Highlighting complex areas (e.g., parts of a map or diagram)

Customisable:

  • Line - colour, thickness, and opacity.
  • Fill - colour, thickness, and opacity.

Cloud Tool

Creates an annotation with a cloud style border.

Use case:

  • Technical drawings
  • Change requests (clouds often indicate revisions)

Customisable:

  • Line - colour, thickness, and opacity.
  • Fill - colour, thickness, and opacity.

Cloud Polygon Tool

A combination of the polygon and cloud tools, letting you draw cloud shapes with custom edges.

Customisable:

  • Line - colour, thickness, and opacity.
  • Fill - colour, thickness, and opacity.

Freehand Tool

Draw freehand lines with your mouse or stylus.

Use case:

  • Quick sketches
  • Underlining
  • Hand-drawn notes

Customisable:

  • Line - colour, thickness, and opacity.

Text Tool

Add typed annotations anywhere on the PDF.

Use case:

  • Notes or explanations
  • Labelling diagrams
  • Adding instructions

Customisable:

  • Text – font, colour, size, bold and italic.
  • Background - colour, and opacity.

Exit and Save Markup

Exit Markup

Leaves markup mode without saving (your changes may be lost).

Save Markup

Finalises all annotations and embeds them into the PDF.
Always click Save Markup before closing the document.

Link Tag

You can access the link tag tool by clicking the Link tag icon in the left hand-side menu. This powerful option allows indexing of the tags in your inventory so they can be transposed onto the applicable drawing, including a shortcut back to the tag in the software.

When you select the Link tag tool you will open a new menu offering to create or link a tag:

  • Selecting Link tag, a search window will appear, simply enter at least 3 characters of the joint ID and the software will search the hierarchy for any associated joints.

Note. if the joint is saved with a tag that has less than 3 characters, this joint will not be found in the search.

  • Once the correct joint has been selected, click on the point in the drawing you want it to appear.
  • If the joint is not in your inventory, select Create tag and enter in the relevant tag nomneclature/data. This will save the tag as a draft and it can now be updated within the Calculate engine.

Add URL

You can access the add URL tool by clicking the Add URL icon in the left hand-side menu. URLs are useful to link to online resource (such as from sharepoint)

When you open the Add URL tool you will see the following three menu items:

  • Link URL
  • Exit linking
  • Save URL

When you click on the Link URL icon you will be presented with the Link URL form.

Enter the URL into the URL field, then add a friendly name (preferred label) if required.

You can then click the button Add URL.

Use the crosshair tool to select where to add the URL in your document, just click where you want to the URL to be added.

You can drag the items around the document until you have it placed exactly where you want it.

You can also change the text and line colours by clicking on either the line or the textbox then using the tool on the left-hand side menu to change the required values.

When you are happy with the positioning you can click the Save URL button to save the changes.

Layers

All markup, links and URLs will be saved as ‘layers’ which can be seen in the layers menu on the right-hand side of the markup tool.

All layers can be edited, moved, or deleted using the icons in the layers menu. You can also toggle the layer to be either visible or not visible by using the eye icon beside each layer.

Export

You can export your current markup document as either a PNG or PDF file by clicking the Export icon in the left hand-side menu, and then click on either option to export in your desired format.

You will then be able to save the document in your preferredfolder.

Zoom In

You can zoom into a document by clicking the Zoom in icon in the left hand-side menu.

Zoom Out

You can zoom out of a document by clicking the Zoom out icon in the left hand-side menu.

Full Screen

You can view markup in full screen clicking the Full screen icon in the left hand-side menu.

To exit full screen, you can click the icon again in the left hand-side menu.
